When you receive new Pokemon, you are sent a private message from one of the admins containing an image* of your Pokemon, and information including its gender, stats and attacks. All of this information must be transferred into either your "Pokemon Party" or "Pokemon Box" sections in your Trainer's Profile, by you.
Placing a Pokemon in your Pokemon Party means that it is currently traveling with you. If you place it in your Pokemon Box, it means that it is not currently with you and is being tending for by the professor.
Pokemon from your Pokemon Party may be switched out for a Pokemon from your Pokemon Box at any time outside of battle, only if they have not fainted.
When a Pokemon levels up, its new stats and attacks, if it gained any, will also be sent to you in a private message. If it evolves, it will also contain it's new image. All Pokemon that reach their required level to evolve, unless holding an Everstone, will evolve.
It is the trainer's responsibility to update and record their Pokemon as they gain new Pokemon and as their Pokemon level up.
Also note, if a Pokemon levels up after a battle, it's HP will be restored entirely.
If your Pokemon Party is not updated, listing what Pokemon are currently in your party, then the Pokemon not listed will not be considered in your party at the current moment.
* Note that some trainers may have different images for their Pokemon, even if they have the same Pokemon. Not all images for the same Pokemon are the same. Do not swap images under any circumstances!
